Job purpose

To provide reception, telephonist and administration support to Barnardos National Office and services.

Core Job Requirements

Greet all visitors and service users and provide hospitality when required. Ensure all visitors sign the visitors’ book. Contact the appropriate team when visitors arrive for appointments.
Adhere to all reception safety precautions. Maintain the reception area and look after the car park rota. Manage room bookings when required for meetings, conferences etc. Order taxis and couriers as required and record appropriate cost centre and funder details.
Answer all incoming telephone calls promptly and efficiently. Connect callers to correct extension number or transfer to voicemail. Take messages where necessary. Open post with a member of the National Office staff when required.
Manage the Reception and information@barnardos email accounts, answer queries and forward / signpost as appropriate. Distribute general emails/messages received to the relevant staff.
Maintain the staff directory and any other appropriate directory of contact details and Barnardos services.
Support in the administration of the Tax Saver Scheme.
Monitor the stationery orders by staff on the shared server and order items when necessary Maintain the franking machine to ensure there are sufficient funds and supplies at all times. Match invoices received to delivery dockets held at reception for payment purposes.
Ensure reception processes are documented and available for staff who provide cover for reception (including agency staff). Good communication with the other receptionist and to provide a handover weekly to ensure the smooth running of the reception desk.
Contact the relevant staff when donations are received, and provide a receipt.
Provide administration support to teams in the National Office.

To be vigilant to any concerns regarding the protection and welfare of children and to bring them to the attention of the Barnardos Designated Person in a timely manner, in keeping with the Barnardos Child Protection policies.
To participate in the efficient flow of information within the organisation by sharing and seeking information as appropriate
To undertake other duties as may be requested by the line manager from time to time
To undertake your work in a manner that is friendly, flexible and informal.

Experience

Minimum of two years’ directly relevant experience essential.
Ability to use IT systems such as Microsoft Office Suite-Outlook, Word & Excel essential.
Receptionist experience a distinct advantage.

Qualifications

Junior cycle of achievement or equivalent minimum level of education.
