The Administrator will work to support Dublin South Regional Office including the Young Parents Support Programme (YPSP).
Barnardos work is partnership-based – working in close partnership with families, statutory bodies and voluntary agencies, to bring about better outcomes for children, using a mind, heart, body, approach.
The Young Parent Support Programme (YPSP) provides a response to vulnerable families headed by younger parents, and delivers preventative support services for both the parents and their children.
Job Description
Post: Project Administrator
Location: Dublin South Regional Office & Young Parents Support Programme (YPSP) Newlands Business Park, Clondalkin, Dublin 22.
Responsible to: Project Leader
Works with: Barnardos colleagues, service users and external agencies/stakeholders.
Job Purpose
To provide an efficient and flexible administrative support service to the South Dublin Regional Office and Young Parents Support Programme. In an integrated way with the wider Barnardos organisation.
Core Job Requirements
- To respond in an efficient friendly and appropriate manner to all communications with the office i.e. post, e-mail, telephone, online platforms, and in person.
- To provide administrative support to the Assistant Director and the service, utilising relevant IT packages, ensuring documents are presented and formatted to a high standard.
- To maintain an up to date and effective filing system.
- To maintain an efficient, accurate and up to date financial, Human Resource and stock/ inventory recording system as appropriate.
- To gather information statistics and prepare reports as required, including administration of databases as appropriate to the role.
- To provide administrative support with the daily running of the Regional office building, including building maintenance issues and facilities.
- To deal effectively and efficiently with any enquiries/referrals to the project.
- The post-holder will be expected to assist in a flexible manner to tasks required in the other services based in Dublin South region.
- To support project staff with the establishment and maintenance of their files and record keeping systems, including the database.
Requirements Specific to this Post
- To work closely with the Regional Administrator and the other Administrator Workers in the Region.
- To assist staff with practical tasks.
- To review and oversee expenditure in-line with the Finance policy and practice, i.e. to ensure receipts and invoices are processed effectively.
- To support the team with procurement and purchase of resources to support the work with children and their families.
- To gather quotes to assess value for purchases or service provisions.
- To input new referrals of children to both services on the agency’s Electronic Record Keeping (ERK) system.
- To ensure confidentiality is adhered to at all times in relation to information on children, families, staff and all other matters within the services. To be particularly sensitive to the requirements for confidentiality of information and General Data Protection legislation (GDPR)
- To signpost direct the public to the Barnardos informational services as required.
- To answer the door and greet visitors and service users, incl. children, parents, families, as required.
- General household duties may be required as part of this role.
Requirements of all Barnardos staff

- Identify training needs with your line manager and participate in training opportunities appropriate to the role.
- To be vigilant to any Health, Safety and Welfare risks in the workplace and bring any concerns to the attention of your line manager or local Health & Safety Officer.
- To be vigilant to any concerns regarding the protection and welfare of children and to bring them to the attention of the Barnardos Designated Person in a timely manner, in keeping with the Barnardos Child Protection policies.
- To participate in the efficient flow of information within the organisation by sharing and seeking information as appropriate.
- To undertake other duties as may be requested by the line manager from time to time.
- To undertake your work in a manner that is friendly, flexible and informal.

Experience
Minimum of two years’ directly relevant experience essential.
Qualifications
Junior cycle certificate of achievement or equivalent level of education minimum.
The post-holder is initially assigned to work in the South Dublin Regional Office, Dublin 22, but may be required in the future to work in other locations in the Dublin area in line with Organisational needs.
